SHORT TERM RENTAL AGREEMENT (updated Jan 2026)
The Rental Agreement – Rules and Regulations apply to all individuals renting SCC facilities.
1. GENERAL RULES AND REGULATIONS:
- Rooms are not reserved until this Rental Agreement has been acknowledged and agreed upon.
- Rooms are available on a first-come, first-serve›d basis.
- The Centre shall only be rented to adult persons.
- The contact person(s) must be in attendance for the duration of the function.
- At times the SCC might require the use of the space for a community wide event at the time of a regular booking, we will notify you with as much time as possible on these occasions, but it is at the discretion of the Centre.
- Cancellations must be made in writing at least 7 days before the reservation date by emailing booking@sandymountcommunitycentre.ie. Emergency cancellations will be considered on a case-by-case basis.
2. RESPONSIBILITIES OF THE RENTER:
- The renter is responsible for setup and cleanup of the rented space unless arranged otherwise.
- An additional €30 per hour will be charged if the event runs over the scheduled time.
- Renters must provide proof of public liability insurance of at least €6.5 million and maintain coverage for the duration of their use.
- Renters must indemnify and hold SCC harmless from any claims or damages resulting from their use of the facility.
- Renters are responsible for any damages or breakages, excluding normal wear and tear.
- No structural alterations or signage are allowed without prior written consent.
- Renters must leave the space clean and are liable for additional cleaning costs if required.
- Renters must supervise all individuals in their group to ensure orderly conduct.
3. IMPORTANT FACILITY POLICIES:
- The SCC Committee reserves the right to inspect the rental space at any time.
- No unauthorized alcohol is permitted (special permission required per SCC’s alcohol policy).
- No smoking is allowed inside the building.
- Exit doors and fire extinguishers must remain unblocked at all times.
- SCC is not responsible for personal injuries, lost items, or stolen belongings.
4. HEALTH & SAFETY REQUIREMENTS:
- Renters must comply with all statutory consents and legal requirements relevant to their activities.
- Compliance with child protection and vulnerable adult laws is mandatory where applicable.
- Renters are responsible for security measures, including safeguarding keys and access codes.

5. PAYMENT & BOOKING POLICY
Payment Methods
Payment can be made via bank transfer, cheque, cash, or payment link. An invoice will be issued once the booking is processed.
Deposit and Payment Policy
- A standard deposit of €30 is required for all bookings, both one-off and regular rentals.
- For new regular renters, payment for the first week of the session or event must be made one week in advance. This payment will be applied toward the first rental.
- To avoid being charged the first-week payment, cancellations must be made at least one week before the session or event.
One-Off or Short-Notice Bookings
- A €30 non-refundable deposit is required to confirm booking.
- If the booking is made within 1 week of the event, the full amount (100%) must be paid at confirmation.
- The booking will only be considered confirmed upon receipt of the deposit.
Cancellation and Refund Policy- New Bookings
- € 30 deposit is not refundable but will be credited towards your first booking
- Full payment for first event will be taken one week before event and this payment will be not refundable once is paid
Repeat Bookings:
- If this is a repeat booking you will be billed monthly for this time
- Regular bookings cancelled with more than 7 days notice will not be billed
- Regular bookings cancelled with less than 7 days notice will be billed in full
One off:
- If this a one time booking no further payments are required
- Consideration may be given in special circumstances at the discretion of management.
6. ADDITIONAL FEES WILL APPLY IF:
- The space is left unclean or untidy.
- The kitchen is left in an unclean condition.
- The event exceeds the agreed time.
- Any physical damage occurs to the premises.
- Unauthorized adjustments are made to electrical fixtures or circuit breakers.
- A €100 cleaning fee will be charged for violations, and future rental requests may be denied.
7. FINAL REMINDERS:
- Renters must vacate the premises within 30 minutes after their booking ends unless the office has communicated other arrangements.
- Noise levels must be kept low when entering and exiting the building.
- Parking regulations must be followed to avoid blocking driveways. Participants are encouraged to NOT drive.
- All lights and electrical appliances must be turned off upon departure, and rooms cleared of tables and chairs if items are moved they need to be put back.
- The facility must be properly secured before leaving.
